How PointClickCare’s brand team put a consistent, trackable email signature on 2,500 employees in two weeks

2,500 employees

Background
PointClickCare is a Toronto-based electronic health record software provider for the senior and long-term care industry. Its 2,500 employees serve organizations across North America. Every email they send is a brand touchpoint with customers across senior living, skilled nursing, and post-acute care.
Roughly one in ten of those employees weren’t using the standard email signature. PointClickCare’s previous setup relied on manual opt-in, and the people who skipped it either had no email signature or an outdated one.
Brand Marketing used a planned tool review to raise the bar. The team looked for a solution that would reach every employee automatically and give Brand Marketing proper campaign tools and click data.
Before & after
Before
91% email signature adoption
No click tracking for banners or links
Manual opt-in that required employee action
Limited banner functionality
IT involved in every email signature update
Employees couldn’t edit their own details
After
100% adoption across 2,500 users
Click tracking for banners and links
Automatic deployment, no employee action needed
Campaign banners for events and initiatives
Marketing updates email signatures on its own, with IT holding central control
Employees edit their own pronouns, mobile numbers, and designations
PointClickCare’s challenge
Manual opt-in meant adoption depended on employees acting, and many never did. That left the marketing and IT teams with these problems:
Marketing couldn’t track clicks on banners or links, which made campaigns impossible to measure and events like PointClickCare SUMMIT hard to promote through employee email signatures.
Signature adoption stopped at 91%, and nobody could see which employees or departments were missing.
Every email signature change went through IT, so time-sensitive campaigns waited in the queue.
Employees had no way to update their own pronouns, mobile numbers, or professional designations, so those changes landed on IT too.
The results
2
weeks from onboarding to full deployment
2,500
users with email signatures deployed centrally
100%
email signature adoption across the organization
How Exclaimer helped
PointClickCare’s Brand Marketing team led the rollout with IT and went live in about two weeks. Exclaimer’s template services team built the main email signature template while PointClickCare’s creative team kept it on brand.
PointClickCare can now:
Reach 100% adoption automatically. Server-side and client-side deployment put a correctly formatted email signature on every employee’s email, with no manual setup or opt-in.
Pull employee details from Microsoft Entra ID, so there’s no manual data entry and every email signature matches the brand.
See clicks on banners and links, so marketing can tell what’s working and put real numbers behind its campaigns.
Schedule and update rotating banners for PointClickCare SUMMIT in February and other initiatives, for specific departments or the whole organization, without going through IT.
Give employees control over their own pronouns, mobile numbers, professional designations, and closing remarks through the User Details Editor, while IT keeps control of the core brand elements.
